Chair

Major Tasks:

  1. Chairs all committee meetings
  • Final and casting vote
  • Drafts agenda
  1. Represents club in negotiations when necessary
  2. Liaises with important players in relation to mountain activities, such as:
  • Other clubs
  • Conservationists
  • KWS
  1. Maintains club standing
  2. Keeps things moving along
  3. Report at end of year
  4. Ensure MCK objectives and policies are followed
  5. Refer to article of constitution for more details

Minor Task:

  1. Promote club

Vice-Chair

Major Tasks:

  1. Cover for chair in chair’s absence
  2. Take up issues as necessary
  3. Introduce new committee to their tasks

Honourable Secretary

Major Tasks:

  1. Take and timely distribute minutes to committee members and committee notice board
  2. Correspondence with the outside world
  • Check PO Box
  • Answer or refer to chairman
  1. Renew bar licence
  2. Renew Hygiene licence
  3. Refer to articles of constitution for more
  4. Endure proper and up to date filing of all club documents and archives

Minor Tasks:

  1. Keep a stock of MCK receipt books
  2. Maintain neat notice boards
  3. Liaise with bulletin editor on publication issues
  4. Ensure/monitor distribution of bulletin

Honourable Treasurer 

Major Tasks:

  1. Prepare treasurer’s report for AGM
  2. Collect and bank all bar takings and other income
  3. Track all club transactions
  4. Provide advances and reimbursements to committee members for expenses approved by the committee
  5. Pay bills associated with the clubhouse, Lukenya and the Mount Kenya huts:
  • Electricity
  • Insurance
  • Land rents and levies

Minor Tasks:

  1. Ensure all signatories are approved by all banks (2 signatories are required for all cheques). Signatories are:
  • Chairman
  • Vice-Chair
  • Treasurer
  • One Committee Member
  1. Seek ways to conservatively develop club’s financial resources
  2. Liaise with Income Tax department
  3. Liaise with government (societies act details)
  4. Liaise with Committee Member in charge of Stores

Membership Secretary

Major Tasks:

  1. Process membership applications
  2. List prospective members and present to committee
  3. Ensure that all new approved members receive the following:
  • Latest bulletin
  • Latest newsletter
  • Club information sheet
  • Constitution
  • Car stickers
  • Membership Cards and Stickers
  1. Forward New members list to the Newsletter Editor every month
  2. Ensure membership payments are correctly noted in bar sheet
  3. Maintain/update membership database (online database also)
  4. Print membership list and post quarterly on membership wall

10. Serve as primary contact point between members and committee

11. Ensure Membership Card Stickers and Car Stickers are printed before end of the year

12. Ensure Renewal Rubberstamp is available.

Minor Tasks:

  1. Organize membership drives and outreach programme

Access Officer

Major Tasks:

  1. Proactively ensure patrimony/possession of Lukenya
  2. Good relations with Lukenya neighbours:
  • Brigadier Kakenyi
  1. Gate to control access
  2. Alignment of road from school to picnic tree
  3. Sensitisation of Club Members on issues facing use of Lukenya (brochure?)
  4. No parking on Mulwas’ land except at school
  5. Only members and accompanied guests to MCK land and neighbours’ land
  6. Conservation issues
  7. Ensure access to other mountain areas

10. Ensure good relations between MCK, MCK members and:

  • Local populations

11. Take steps to ensure maintenance of huts on Mt. Kenya

12. Maintain visitor’s books in huts

  • Howell Hut
  • Black Hole Bivvy
  • Teleki Valley Rescue Hut

13. Inform members about use and regulations periodically – through the newsletter

14. Follow up with non members/ companies who use MCK property without permission and payment

Meets Coordinator

Major Tasks:

  1. Bring to attention of committee all proposed meets or ideas for meets
  2. Go out to membership and persuade, cajole, bribe, blackmail them into leading meets
  3. Try to ensure proper spacing, distribution/timing
  4. Forward list of meets to website editor and membership secretary and newsletter editor as they arise
  5. Monitoring participation and obtaining feedback on Meets held
  6. Ensure proper filing of trip feedback forms

Library Officer

Major Tasks:

  1. Ensure smooth running of library
  2. Open on Tuesday meet nights
  3. Update catalogue system
  • Books
  • Journals
  • Videos
  • Films
  •  Maps 
  1. Source new books/videos/DVD’s etc relating to Club Objectives

Stores Officer

Major tasks:

  1. Ensure smooth running of stores
  2. Climbing gear
  • Organized into “good” and “lousy” gear
  • Keep record and checks on the gear usage form
  • To be returned 2 weeks before any organized climbs
  1. Books
  • Maintain sales of books both locally and overseas
  • Forward sales reports / receipts to Treasurer
  1. Monitor sales of books and other club merchandise and ensure adequate book supplies for our agents (Cordee [Europe] and Alpenbooks [USA])
  2. Ensure turnover
  3. Distributor follow-up

Minor Tasks:

  1. Tidy up store
  2. Ensure maintenance of furniture and fittings of clubhouse

Social Secretary

 Major Tasks

  1. Organize annual dinner
  2. Organize Xmas dinner
  3. Any other social activities

Website Editor

Major task:

  1. Ensure site is up and running
  2. Update or make systems for updating information easily
  3. Install and maintain advertising system
  • Finding advertisers
  • Creating ads
  • Running ad rotation software
  • Billing advertisers
  1. Maintain mailing list software

Newsletter Editor

Major Task:

  1. Produce edited club newsletter every month with identity/logo
  • Set deadline for article collection as required
  • Forward N/L to membership secretary for onward transmission to members
  • Obtain list of all forthcoming meets for publication
  • Obtain trip reports from meet leaders
  • New members list
  • Obtain anecdotes/interesting stories or jokes from anyone or any publication
  • Scan and report on local news items pertaining to mountain activities
  • Pin up latest newsletter on club notice board and take at least 20 copies to be kept at the club
  • Ensure caretaker posts newsletters to members every month (those not on email)
